Ways To Improve Security in Checkeeper

Checkeeper offers users a lot of useful features for issuing custom business checks, and one of its unique features is the built-in security and account protection that comes standard. Printing your own business checks on demand is a secure and convenient way to issue payments to vendors, clients, employees, and affiliates, as well as for customer refunds and rebates. Users looking to maximize the security of their check printing accounts can take some additional measures to keep their information safeguarded.

Add double authentication

Checkeeper accounts are password-protected, and they can be accessed from any device, requiring no special software downloads. For additional account security, Checkeeper users can enable a two-factor authentication requirement at the login point. Within the user profile, users can select the two-factor authentication option that will then initiate a code to be emailed to the user upon each login attempt.

Set user permissions

Having too many users accessing payments can create opportunities for error and an extra vulnerability to fraud. Checkeeper enables account holders to authorize additional users when necessary, but also to limit each user's access to specific features, as well as monitor each user’s initiated transactions. Limiting the user permissions to only the designated features needed reduces chances for abuse or misuse. To set and limit user permissions in the Checkeeper Administration page:

· Click ‘Users’ and ‘Add New User’

· Enter the first name, last name, and email address for the new user

· Select which Checkeeper features are to be permitted (Create, Print, Mail, Approve)

· Select the appropriate business (if there are multiple)

· Click 'Send Invite' so that Checkeeper can email the invitational link

Selecting 'Super User' will authorize the user to have the same level of access as the main account holder.

Add an approval requirement

For large payments over which you want to maintain oversight and control, add an approval requirement so that checks must be approved before being printed and mailed. To create an approval process for checks before they are issued:

· Click on Settings tab

· Enable ‘checks require approval’

· Click 'Save Defaults' along the bottom

When enabled, a newly created check will have the status ‘pendent’ and cannot be printed or mailed until approved by a user you designate. To grant approval rights to an authorized user:

· Click on Administration and select ‘Users’

· Find the user you intend to authorize, and select ‘Manage’

· Highlight ‘Approve’

· Click ‘Update Access’

Checks created will be listed in the registry until an authorized user approves them by simply selecting the pendent check or checks from the list and clicking on the upper right ‘Approve’ button.

Run reports

Maintaining control and strict oversight in financial transactions reduces chances for errors to go unnoticed and for misuse and fraud to occur. Checkeeper offers powerful reporting features that allow account holders to pull up a full list of all checks created within any custom time frame, as well as a comprehensive spreadsheet that lists all the data for each created check, including authorized user who initiated each check and the date and time of each check’s creation. Reporting features help provide extra account security and provide transparency and accountability when multiple people are involved in issuing checks.

Storing blank, ready-to-use checks around the office, on top of desks, or in filing drawers creates opportunities for loss, theft, and misuse; it also compromises confidentiality by displaying your bank info and account numbers to potentially unauthorized people. Checkeeper enables print-on-demand features for custom business checks that allow users to print only the checks they need that day. This not only allows users to update and edit their checks without having to discard and replace old, obsolete checks, but it also provides an extra level of security by avoiding situations where many ready-to-use checks are left in the open or unsecured. Checkeeper also offers complete check mailing services so that users don’t even have to print a single check themselves: order all your checks printed and mailed for you and never have to worry about blank checks lying around unsecured.

Checkeeper is online and cloud-based, which means all the standard IT and security is provided for you. Checkeeper uses the same level of data encryption that banks use, and Checkeeper is HIPAA and GDPR compliant.
