Checkeeper offers lots of great features for printing and mailing customized business checks on demand, including some you may have never tried, such as the addition of new users authorized to print, mail, and/or approve checks on the business's behalf.
Businesses that delegate the bookkeeping to multiple people and/or remote bookkeepers appreciate the convenient User Permissions feature offered by Checkeeper, as well as the accountability and control it provides. Account owners can authorize additional users to access the company’s Checkeeper account to print and mail checks, and, if they want to control transactions, they can limit that approved access to only designated features or add an ‘approval’ requirement to created checks right from the main account page. Checkeeper enables multiple authorized users to create checks, mail checks, and approve transactions for busy offices that have more than one person managing the books.
To authorize additional users to print and/or mail checks for your business, follow some simple steps:
Register with Checkeeper, and log in to your account.
Go to the Administration page.
Click on ‘Users’ along the left margin.
You will see your own name listed as an authorized user, and then a space for ‘Other Users’ beneath it.
Click ‘Add New User.’
Enter the first and last name of the new user you wish to designate, as well as an email address.
Specify which Checkeeper features the new user is authorized to access: Create, Print, Mail, Approve.
Specify which business (if you have multiple) the new user is authorized to access.
Click ‘Send Invite,’ and Checkeeper will send an email containing a link that the new user can follow to set up their account.
Tip: When you want to change the level of access for a user, click ‘Manage’ next to the user’s name, make any necessary adjustments to their permissions, and click ‘Update Access.’
Tip: When you want to revoke permissions, simply enter the user’s permission settings, and click ‘Delete User.’
Having a lot of hands in the books can lead to security issues; it can also impede accuracy and efficiency when a standardized process is not implemented and rigorously followed. Delegation of bookkeeping tasks works best when you have:
· People whom you trust
· A standardized system in place that can be followed by everyone
· A system of checks and balances to catch errors and prevent fraud
· Transparency and accountability for all initiated transactions
· Permission controls that can be expanded or changed according to need
Controlling the user permissions through Checkeeper allows business owners and managers to delegate some of the bookkeeping without compromising security and confidentiality. Limiting user permissions to only designated features is helpful for business owners who want to delegate some of the work but still maintain tight control over the finances. Limiting user permissions can be a good idea for reducing errors as well as reducing opportunities for fraud. Checkeeper enables account owners to share the work without increasing the risk.
Device-specific software that has to be downloaded limits the number of people who can access, review, and update the data at a given time; it also restricts where and when users can access software. Online, automating programs that can be accessed simultaneously by multiple authorized users allow real-time sharing of data for far greater efficiency. Checkeeper is mobile and cloud-based, so it can be accessed from virtually anywhere. Checkeeper also integrates with other accounting and payroll platforms to help users manage the business checking more efficiently and with optimal control. Setting user permissions is simple and free, and the authorizations you set can be changed anytime.
